Testing extraction and contents before archive handoff

After choosing a format, verify the intended file list and recipient environment, test extraction and compare the contents with the originals.

Which format should you choose?

Choose by the role each file plays in your workflow.

  • Record the inventory and extraction conditions
  • Test, then extract into a separate folder
  • Compare extracted files with the originals

Record the inventory and extraction conditions

Record included paths, file counts and sizes, creation tool and settings. For split archives, verify all parts and recipient support. Check compression and encryption methods, disk space and filename or path-length limits.

Test, then extract into a separate folder

Use a compatible tool's test function to check data or CRC errors. Seeing a listing does not mean every file was read. Verify provenance and test in an empty destination without overwriting existing files, controlling extraction paths and resource use.

Compare extracted files with the originals

Check missing or extra entries, changed names and name collisions against the inventory; compare individual content hashes when needed. Check timestamps and attributes separately. A matching transferred archive hash verifies transfer identity, not completeness relative to originals or content safety.

Formats to consider

ZIP

Good for: Distributing multiple files with supported methods

Less suitable for: Assuming every ZIP setting works everywhere

7Z

Good for: Compressed delivery with a confirmed recipient tool

Less suitable for: Treating a successful test as proof of safe contents

Before you export

  • Extraction tests and CRC checks are not malware scans or sender authentication. Do not run unknown executables; retain originals and verification records.
  • Do not publish passwords through the same public channel. If parts are missing or errors occur, stop and consider reacquisition or recreation instead of destructive repairs.
