Checking dependencies and playback before presentation handoff

Separate editable slides from viewing copies, gather linked assets and test the slide show in the intended application and equipment.

Which format should you choose?

Choose by the role each file plays in your workflow.

  • Agree on version and presentation environment
  • Check linked assets and conversion results
  • Run through the intended environment

Agree on version and presentation environment

Record version, slide size, application, OS, equipment and network availability. Distinguish presentation and distribution copies; agree on sharing notes and hidden slides. Retain the editing original.

Check linked assets and conversion results

Identify embedded versus linked video, audio and images; gather needed files and access conditions. Verify font and media support at the destination. PDF is a separate viewing copy, not equivalent video or animation playback.

Run through the intended environment

Open a relocated copy in the target application; check overflowing text, charts, slide order, clicks, automatic timing, video and volume. Test disconnected if offline use is intended. Editor display alone is not a playback test.

Formats to consider

PPTX

Good for: Editing and presenting in compatible environments

Less suitable for: Assuming no external links or identical playback without checking

PDF

Good for: Delivering a checked static viewing or print copy

Less suitable for: Replacing a dynamic presentation or editing original

Before you export

  • PowerPoint media compatibility optimization can remove embedded subtitles and alternate audio tracks. Retain originals and verify needed features after optimization.
  • Check rights for fonts, images and video, and confidential information. Do not automatically execute unknown links or remove notes or slides from originals without agreement.
